Set up the first academic year
Every other module — students, staff, fees, attendance, exams — needs an active academic year to attach data to. On a brand-new account, the Home tab shows a lock screen: "Academic Year Required". That stays until you create one.
Step-by-step
- Tap Home → red Create the First Academic Year button.
- Step 1 · Year details: label (e.g.
2026-27), start date (1 April typical), end date (31 March typical), board (CBSE / ICSE / State / Other), medium (English / Hindi / Tamil / 13 Indian languages supported), stream toggles for Class 11-12 (Science / Commerce / Arts / Maths). - Step 2 · Classes & sections: tick the classes your school runs. For each, add sections (A, B, C…). The wizard pre-fills LKG → Class 12 — untick what you don't run.
- Step 3 · Fee structure: add fee heads. Monthly (Tuition, Computer, Transport — billed every month) or One-time (Admission, Annual). Pick a head, type amount, tap Monthly or One-time, then "Add to fee heads". The Annual Total updates as you add.
- Step 4 · Review & create: double-check, then tap Save Year. The year becomes active automatically.
FAQs
Can I edit fee structures later?
Yes. Settings → Fee Structure. If you've already generated student fee schedules from a structure, the wizard warns you — changes don't retroactively touch past installments, only future ones.
I picked the wrong start date — can I fix it?
Yes, while the year is still open and has no admissions / attendance / fees. Once data exists, dates lock to protect history. Edit from Settings → Academic Years.
What's the difference between board & medium?
Board = the affiliating body that sets your syllabus & final exams (CBSE / ICSE / State board). Medium = the language of instruction (English / Hindi / Tamil…). They're independent — a CBSE school can teach in Hindi.
Streams toggle for 11-12 — what does it do?
Lets you offer Science, Commerce, Arts, and/or Maths streams. Each gets its own section (e.g. 11-Science-A). Only tick the streams your school actually runs — admissions will only see the ticked ones.
